Standard Conditions for Hire

 

 

General Notes

 

A                     The title and name of Newport Pantomime and Musical Society shall not be used by the hirer for any purpose whatsoever, without prior written agreement from the committee of Newport Pantomime and Musical Society, who shall hereafter be referred to as The Society.

 

B                     Companies or persons hiring the hall shall hereafter be known as The Hirer.

 

 

 

1.  Hiring

 

1A                   The fee for hiring shall be in accordance with the scale of charges as laid down by The Society and agreed with the hirer, on acceptance of the booking.

 

1B                   The hirer shall pay the hiring charge to The Society on acceptance of the booking, unless an agreement is made between The Society and The Hirer.

 

1C                   Conditions will exist whereby a deposit will be required to cover the loss or damage to the property or goods. This is refunded on handing over at the end of hiring period subject to acceptance that no damage or loss has occurred.

 

 

 

 

 

 

 

 

 

 

 

2.  Applications

 

2A                   Applications for hire of the premises must be made in writing on official application forms and shall not be deemed hired until the hiring has been approved, fees paid and deposit made (unless an agreement is made between The Society and The Hirer).

 

2B                   The Society reserve the right to refuse any application, and the right to cancel any hiring if it appears that the facilities are to be used for any purpose other than the purpose specified in the application.

 

2C                   The Hirer shall be the person or persons who sign the application form and shall be personally responsible to The Society for the terms of the contract.

 

 

 

3.  Facilities

 

3A                   Use of the premises will include the main hall, foyer, toilets and refreshment room if required.

 

3B                   The Society will provide tables and seating if required prior to the commencement of the period of hire.

 

3C                   The use of ANY other facilities will be by advance agreement of both parties (at additional cost) on acceptance of the booking.

 

 

 

4.  User

 

4A                   No part of the premises is to be used for any purpose other than the purpose of hiring.

 

4B                   No part of the premises is to be used for any unlawful purpose or in any unlawful way.

 

4C                   No animals (with the exception of guide dogs for the blind) are to be brought onto the premises or allowed to enter the said premises without the consent of The Society.

 

 

 

 

 

 

5.  Electrical Equipment Alterations

 

5A                   No lighting, heating, power or other appliances are to be moved, altered or interfered with in any way.

 

5B                   No additional lighting, heating, power or other appliances are to be installed or used without prior consent of The Society.

 

5C                   The stage lighting and sound equipment must not be operated other than by a member of the Society, or persons approved by The Society.

 

 

 

6.  Supervision and Good Order

 

                        During the period of hire, The Hirers are responsible for:-

 

6A                   Supervision of the premises and effective control of children.

 

6B                   The orderly and safe admission and departure of persons from the premises.

 

6C                   The preservation of Good Order and Decency on the premises.

 

6D                  Ensuring that all designated fire doors are unfastened, unobstructed and available for immediate exit.

 

6E                   Ensuring that no obstructions are placed, or allowed to remain in any corridors or near fire exit doors.

 

6F                   Providing suitable persons and agreed numbers to act as stewards to secure compliance with all requirements.

 

6G                  Removing – at the request of authorized officials of The Society – any person causing a nuisance, annoyance and/or breaching conditions of hire.

 

 

 

 

 

 

 

 

 

 

7.  Posters and Decorations

 

7A                   No nail, fastenings, or other like objects are to be driven into any part of the premises; nor adhesive substances allowed, nor are placards or other articles allowed to be fixed.

 

7B                   Use of any highly flammable materials for any purpose is not allowed.

 

7C                   Advertising posters, signs, flags etc will only be allowed at the sole discretion of The Society and The Society reserve the right to remove any sign which infringes The Society’s condition, or becomes untidy or unsightly.

 

 

 

8.  Statutory Requirements

 

8A                  The Hirer must not do or allow any act which would be, or might constitute, a breach of any statutory requirements affecting the premises or which would or might vitiate any insurance in respect of the premises.

 

8B                  The Hirer must observe fire precautions and must comply with instructions laid down for in case of fire.

 

 

 

9.  Catering and Liquor

 

9A                   No excisable liquor is to be sold unless an occasional license is in force for the function and can be produced for perusal by The Society.

 

9B                   Any catering arrangements must be agreed with The Society.

 

9C                   The Hirer shall not sell or allow to be sold any tobacco products or goods of any description except with the consent of The Society.

 

9D      Smoking is strictly prohibited inside the building, or within the legally prescribed distance from any entrance
